Job Definition

As Marketing & Event Support you will work closely with the Executive Director to build on the brand awareness of Oliver Osoyoos Wine Country through our Signature events – Pig Out and Half Corked Marathon – as well as consumer events both inside our region and in target markets and Oliver’s Festival of the Grape. You will assist with the passport program, website updates and maintenance, and media hosting. As support for the Executive Director you will be tasked with brainstorming on marketing opportunities and actively engage with the membership including the events and marketing committees.

Who We Are

The Oliver Osoyoos Winery Association (OOWA) is a marketing organization bringing awareness to the 41-member wineries that make up the largest wine region in Canada. Physically we represent the region from the Osoyoos border to McIntyre Bluff, where over 60% of all wine grapes for BC are grown and our terroir consists of 8 unique microclimates.

Oliver Osoyoos Winery Association has a three-pronged mission:

  • Increase awareness of Oliver Osoyoos Wine Country as Canada’s premier wine region
  • Increase opportunity for wine sales by members at the cellar door
  • To generate marketing funds for the association

Who You Are

You are a dynamic and passionate individual who loves wine, specifically the wine experiences visitors and locals can have in our region. You are an effective communicator in person, on the phone, via email and in letters and have the ability to engage professionally with members while building on the associations’ relationships. You have a passion for events and understand that flexible hours and long days are a necessity in executing successful large-scale events. You will be creative and have a strong desire to work collaboratively with others (including staff, board, members, stakeholder, suppliers and volunteers) to drive the organization forward.

Qualifications & Desired Skills

Preference will be given to candidates with a background in hospitality, marketing or event management.  Applicants must possess excellent interpersonal and communication skills, computer/telephone skills/etiquette, organizational ability and strong attention to detail. Valid BC Driver’s License and access to reliable vehicle is required.  Ability to work well under pressure, demonstrate initiative and work both independently and on a team is essential. Resourceful and excellent knowledge of the local area and tourism opportunities in the region.  This position will require some physical ability which will include walking around events, participating in event set-up and tear-down, and lifting and moving wine; additionally, you should be able to work a flexible schedule with periods of high and low demand throughout the year.

Key Duties and Responsibilities:

Marketing, Membership & Admin Support:

  • Participating in Marketing Committee meetings
  • Taking notes and circulating minutes to membership
  • Executing assigned tasks and tracking follow-ups
  • Complete website updates to maintain current information
  • Prepare member communication, manage follow-ups and respond to inquiries
  • Ensure databases are kept up to date for communications and newsletters
  • Support social media accounts which may include preparing posts on Facebook, Instagram, and Twitter as well as responding to users
  • Distribute and collect passports to member wineries and area stakeholders
  • Manage OOWA Wine Cellar, including collecting wine and controlling inventory
  • Potential Wine Club management, including database and shipping
  • Circulate posters and collateral for OOWA events and some community events
  • Complete filing for Executive Director

Event Support:

  • Participating in Events Committee meetings
  • Taking notes and circulating minutes to membership
  • Executing assigned tasks and tracking follow-ups
  • Assist in the planning of OOWA’s Signature events: Pig Out & Half Corked Marathon
  • Building tickets
  • Managing merchandise inventory (pre/post)
  • Logistics and rentals
  • Online databases and communications
  • Correspondence with racers and interested parties
  • Registration planning
  • Event execution
  • Planning for other OOWA events including Winter in Wine Country and Savour the Sun
  • Working with major community-based events including Festival of the Grape, Sunshine Festival and ArtWalk
  • Participating in consumer events both in Oliver/Okanagan and in other key markets
  • Organizing wine from the OOWA cellar and preparing Doc60s
  • Managing swag and contests at events
  • Preparing a ‘call to action’ and maintaining a database of entries
  • Representing OOWA at events

  • Support Executive Director and Board with other administrative tasks as assigned
  • Provide creative, forward-thinking suggestions on improvements to the brand
  • Be flexible to a changing environment with varied workload
